When the 943 is used, and which way it travels
When a manufacturer or seller moves stock INTO a 3PL warehouse, the 943 travels ahead of the freight so the warehouse can plan receiving: what is coming, how it is identified, and when it arrives. It is the inbound mirror of the 940, which instructs shipments OUT.
Effective Data groups the 943 with the 940, 944 and 947 as the warehouse and inventory documents covering item shipments, stock transfers, receipts and inventory updates.
Also called the Stock Transfer Shipment. Same document, same number.
The segments, and what each one carries
The published X12 structure, minus the segments most partners never use. Each partner's implementation guide narrows this further: which qualifiers, which identifiers, how many decimals. That guide, not the standard, is what your file is validated against.
| Segment | Name | Part | What it carries |
|---|---|---|---|
| ST | Transaction Set Header | Header | Identifies the document as a 943 and opens the control number the trailer must match. |
| W06 | Warehouse Shipment Identification | Header | The transfer shipment number and its date: what the warehouse should expect on the dock. |
| N1 | Party Identification | Header | Who is shipping the stock and which warehouse receives it. |
| G62 | Date/Time | Header | Ship date and expected arrival. |
| W04 | Item Detail Total | Detail | The items in the transfer: identifiers, quantities and units of measure the warehouse will verify at receipt. |
| W03 | Total Shipment Information | Summary | Total units, weight and volume, as the integrity check on the lines. |
| SE | Transaction Set Trailer | Summary | Closes the set. Segment count and control number must match the ST. |

Why yours is being rejected
Every EDI provider publishes what an 943 is. What matters in production is why one fails, and these are the failure modes we can put a source against today:
-
Item identifiers the warehouse does not know. A 943 line whose UPC or item number is not in the warehouse’s item master cannot be received against, and the freight sits on the dock while someone reconciles catalogs.
If one of these is happening to you right now, skip to the bottom of the page and describe it. Diagnosing rejected documents is most of what we do.

Frequently asked
+ What is an EDI 943?
The Warehouse Stock Transfer Shipment Advice: notice to a warehouse that a stock transfer is inbound to them, with the items, quantities and dates they should receive against.
+ How does the 943 differ from the 940?
Direction. The 940 instructs the warehouse to ship goods OUT to a buyer; the 943 warns the warehouse that stock is coming IN. A 3PL relationship usually trades both.
+ What answers a 943?
The 944 Stock Transfer Receipt Advice: the warehouse’s report of what actually arrived, reconciled against what the 943 said was shipped.
